I made a free Excel cost calculator for bakeries, cafes, and pastry chefs — looking for feedback (r/SideProject)

Hi everyone, my girlfriend is a pastry chef and I’ve got fed up with constantly calculating the cost price for her. So I got stuck in and spent the evening creating this sort of recipe book to make it easier to work out the cost price of a product based on what you’ve entered into the table. I’d…

Universal Recipe & Product Cost Calculator An automated, formula-driven costing engine built for Excel and Google Sheets. Clean, modular, and 100% macro-free. Who Is This For? This template is built for anyone who needs accurate cost of goods sold (COGS) and unit economics, whether you run a commercial kitchen or a workshop: • Bakeries, Cafes and Coffee Shops: Recipe costing, drink specs, pastry batches, and menu pricing. • Catering and Meal Prep: Batch scaling, bulk ingredient cost tracking, and per-meal margins. • Confectionery and Home Bakers: Precision costing for custom cakes, creams, and dough batches down to the gram. • Craft and Non-Food Makers: Easily adaptable for candles, soaps, cosmetics, or handmade items (simply swap ingredients for wax, fragrance oils, jars, or containers). • Indie Entrepreneurs: Calculate your exact break-even point and minimum viable price before launching sales. Core Architecture The workbook uses absolute-unit logic (1g / 1ml / 1pc) across two interconnected sheets to eliminate conversion errors: Settings — Master Catalog (500 slots) • Store ingredients and materials with purchase package price and net volume or weight. • Automatically derives unit cost per 1 g/ml and per 100 g/ml. • Includes direct vendor URL storage to streamline wholesale reordering. Calculation — Costing Matrix (55 Recipe Cards) • 55 modular cards arranged in an intuitive grid layout (11 columns by 5 rows). • Supports up to 15 line items per card with real-time VLOOKUP ingredient pricing. • Dynamic Overheads: Input customizable percentages for equipment wear (depreciation) and labor expenses (work). • Yield Economics: Automatically calculates both full batch cost (Total Price) and single portion cost (Price per 1). Quick Setup (3 Steps) Populate Database (Settings): Add your raw ingredients, package price, and pack weight in grams or milliliters. Build Your Item (Calculation): Pick a recipe card, set batch size (portion), choose ingredients from the dropdown, and enter quantities. Apply Margins: Enter your target depreciation (%) and Work (%) rates. Check Price per 1 to define your retail markup. Community Feedback and Reviews This project is open-source and built for real-world production. Your feedback makes it better: • Found a formula bug or have an optimization idea? Open an Issue on GitHub. • Have feature requests (shrinkage or waste %, margin multipliers, currency toggles)? Pull requests and suggestions are welcome. • If this template saved you hours of manual math, please give the repository a Star.
